Membership & Program Administrative Assistant


Objective of the Position:
The Membership & Program Administrative Assistant provides administrative support for a wide range of projects as part of our integrated Membership, Communications and Public Programming staff. S/he will play a key role in the registration process for our popular educational public programs, and provide general administrative support for the Farm’s membership and communications initiatives, including website and online calendar, member communications, data management systems, event planning, and more. This position requires attention to detail, strong organizational skills, and flexibility. The ideal candidate will be a self-motivated problem-solver who is passionate about helping the public engage with Shelburne Farms’ educational mission. 
 
Essential Functions:
- Provide administrative support for program registration process and support the transition to a new online registration system
- Provide excellent guest services to community members interested in Shelburne Farms
- Support membership and communications efforts by managing administrative responsibilities including preparing mailing lists, maintaining inventory of printed publications, updating online calendar, coordinating with printers and mailhouses
- Assist with accurate and efficient data management in Raiser’s Edge and other databases
- Liaise with Accounting department to reconcile finances for public programming
- Assist in membership renewal and acknowledgement process and membership/fundraising events
- Provide general administrative support in other areas as needed
 
Physical Factors:
Most work will be performed in an open office environment using standard office equipment on the campus of Shelburne Farms. Occasional weekends and evenings are required.

Qualifications & Requirements: 
Required:
- Relevant education and work experience
- Strong organizational and proofreading skills and an eye for detail
- Strong computer skills including experience with Microsoft Office Suite and Google Apps (Gmail, Google calendar, Google forms, etc.), and the ability and eagerness to learn new programs quickly
- Exceptional customer service skills and desire to engage with the public
- Positive attitude, sense of humor, and graciousness under pressure
Preferred:
- Experience with Raiser’s Edge database, Constant Contact, Adobe Creative Suite, web content management systems, and knowledge of html
- Superior written and verbal communication skills
- Strong personal commitment to the unique educational mission of Shelburne Farms
